Practice Management Software
Definition
Practice management software (PM software) is the system a medical practice uses to run the business side of care: scheduling, patient registration, insurance checks, billing, and claims.
Why the distinction matters
The EMR or EHR holds the clinical record, like notes, orders, and results. The PM system handles everything around the visit. It books the slot, stores demographics and insurance, checks eligibility, turns the coded visit into a claim, and tracks what the payer and patient still owe.
Many vendors bundle both into one product, such as athenaOne or eClinicalWorks, so staff may not see a clear line. Others run a standalone PM system that connects to a separate EMR. Knowing which is which matters when you add tools, since a reminder app usually reads the schedule from the PM side.
Example
A patient calls to book. The front desk creates the visit in the PM system, which checks insurance overnight. The doctor documents the visit in the EMR, the coder adds codes, and the PM system sends the claim and later posts the payment.
Frequently Asked
-
Is practice management software the same as an EMR?
They're different systems. PM software runs scheduling and billing; the EMR holds clinical records. Some vendors sell them together.
-
Do small practices need practice management software?
Almost every practice that bills insurance uses one, even if it comes bundled inside the EHR.
-
What does practice management software connect to?
Commonly the EMR, clearinghouses for claims, payment tools, and patient messaging or reminder apps.
