Appointment Reconversion
Definition
Appointment reconversion is the practice of rebooking patients who cancelled, no-showed, or fell overdue for care, turning a lost or missing visit back into a filled appointment.
Why the distinction matters
A cancelled slot costs a practice twice. The visit revenue is gone, and the patient's care plan stalls.
Many of those patients meant to come back; they just never got a second prompt. Reconversion is the follow-up step that asks them again.
Practices usually track it as a rate: the share of contacted patients who book a new visit within a set window, often 30 days. It pairs with no-show rate. A no-show rate shows how many visits you lose, and a reconversion rate shows how many you win back.
Example
A multi-location practice sent SMS recalls to existing patients who hadn't booked a follow-up in the recommended time.
Based on Curogram's internal data, 35% of those patients scheduled an appointment within a month, and 1,240 patients were seen from recall messages alone.
Frequently Asked
-
How do you calculate appointment reconversion rate?
Divide the number of patients who rebooked by the number you contacted in the same period, then multiply by 100. Use a fixed window, like 30 days, so months compare fairly.
-
Who should a practice try to reconvert first?
Start with patients who have an open care need, such as a missed follow-up or overdue screening. They have the clearest reason to return.
-
Is reconversion the same as recall?
Recall is the outreach message. Reconversion is the result you measure: how many of those patients actually book.
